Sterling Springs Resort Rental Agreement and Policies

 

Sterling Springs is a brand new resort in the Smoky Mountains with amazing panoramic views of the mountains offering unique amenities to our guests. All of our properties are privately owned and custom decorated by the homeowners. We are located no more than 5 minutes from the main parkway in Pigeon Forge, TN and less than 10 minutes from all attractions and shopping centers, such as Dollywood and Tanger Five Oaks Outlet Mall. We invite you to come enjoy our amenities as well as the spectacular view of Mt. LeConte, Bluff Mountain, and the Smoky Mountains National Park.

This contract must be printed, signed, and faxed (865-774-9602) into the office within 48 hours of making the reservation.


Reservations and Cancellations

Sterling Springs Resort offers one of the most friendly reservation policies in the Smokies. Forty percent of the total rent is required to make a confirmed reservation. Should you find it necessary to cancel your reservation and you do so outside of 30 days from your arrival date, you will receive a refund for the deposit made, minus a $100 cancellation fee. If the cancellation is done within 30 days of your arrival date, your deposit will be forfeit. WE MUST BE NOTIFIED OF CANCELLATIONS VERBALLY AS WELL AS IN WRITING (you may mail, e-mail, or fax the notification).

However, should you need to change your reservation, you may reschedule by changing your arrival date for up to one year out from your original arrival date by placing your deposit in escrow. This must be done at least 30 days in advance of your stay. For reservations changed within the 30 day period, deposits are forfeit unless we are able to replace the reservation with one of equal or greater value. If changes are made within 7 days of the scheduled arrival, guests are responsible for the amount of the entire stay unless we are able to replace it with a reservation of equal or greater value. No exceptions can be made to the cancellation policy for inclement weather, health related reasons, or family emergencies.

Certain seasons and holidays may have nightly minimum stay restrictions, which may not be applied to the online reservations system. In these cases, we reserve the right not accept those reservations. Under these circumstances, no deposit will be applied to the credit card provided. A direct call to the reservation office will verify confirmed reservation and deposit acceptance.

If you do not show up to your reservation and do not call, you will not get a refund.

In the rare case that the cabin you have booked has come off of our rental program we are not held liable. We will however give you another cabin of equal or greater value if one is available. If one is not available we will refund all of your deposit.


Minimum Nights

Sterling Springs Resort requires a 2-night minimum stay throughout the year. There is a 3-night minimum stay required for Memorial Day, July 4th, Labor Day, New Years, and the month of October. For Thanksgiving and Christmas, there is a 4-night minimum.


Payment

Upon making your reservation, a deposit of 40% of the total will be taken in order to hold the reservation. The remaining balance will be charged 7 days prior to arrival on the same credit card, unless otherwise notified by the guest. If your reservation is made within 7 days or arrival, the entire balance will be due upon making the reservation.

Check-In and Check-Out

Check-in is at 4:00pm. In order to allow the time needed to prepare our cabins for guest arrival, we do not offer early check-ins. If you arrive after hours, a welcome package will be placed in the "Late Check-In" box located directly beside the front door of the rental office.

Check-out is at 10:00am. You will be expected to place trash in the receptacles provided, place dished in dish washer and start it, set the thermostat to 60 in winter and 75 in summer. Please stop by the office to let us know when you leave.


Occupancy

By order of the local fire marshal, the number of occupants is restricted to the number listed on the reservation. There must be at least 1 adult age 21 or older in residence and on premises at all times if children are present.


Housekeeping and Maintenance

Please adhere to our pet and non-smoking policies. If there is smoking in the cabin, there will be a $250-$500 charge. Linens, towels, and basic kitchenware are supplied. We also supply a starter kit of laundry detergent, dishwashing soap, coffee (no filters), bathroom tissue, paper towels, and trash bags. Please report any damages or shortages upon arrival. Also report any housekeeping or maintenance issues. Be aware that we have a time span of 24 hours to repair any damages, including AC/heating, water issues, broken appliances, etc.


Pet Policy

Some of our cabins are designated "Pet friendly". We accept only small dogs (under 30 lbs) and MUST be house trained. Guest must provide portable kennel/crate for use when out of the cabin. A non-refundable pet fee of $50 is charged upon making the reservation. No cats are allowed at any time. If you bring a pet into the cabin without notifying the office, there will be a $150 cleaning charge.


Hot Tub Usage

Hot tubs will be inspected and cleaned after every rental. If any items such as food, alcohol, soaps, bath products, etc. are found in the hot tub, you will be charged an excessive cleaning fee of $150. Damage to the tub or cover will result in a $400 - $600 charge. Covers should remain on the hot tub at all times when not in use.

Warning: Persons with heart conditions, skin sensitivities, pregnant women, and children under the age of 16 SHOULD NOT use the hot tub. There is medical research indication that being in a hot tub may cause an unsafe drop in heart rate and can dangerously increase body temperature. Children are more prone to skin irritation from the chemicals in use. A hot tub should not be used as a swimming pool as submersion may lead to serious eye, ear, or respiratory problems. Please shower before AND after using the hot tub.


Use of Premises

Guests understand they are solely responsible for any property damage, accident, or injury to any persons or loss sustained by any person. This includes the loss of money, jewelry, clothing, etc.

Guest(s) hereby agree to INDEMNIFY and Sterling Springs Resort Rentals, Inc. and/or homeowner will not be held responsible for any and all claims including those to third parties, arising out of or in any way related to Guests’ use of premises and of the items of personal property provided therein. Guest(s) assumes the risk of injury or other losses relating to any activities and will hold the owner and its agents blameless with the respect thereto.


Road Conditions

Mountain roads can be steep and curvy. While the roads are very well maintained, we recommend four wheel drive vehicles and/or chains for the winter months. WE DO NO REFUND DUE TO POOR ROAD CONDITIONS.


Fees

We offer the cleanest cabins in the Smokies with the highest standard of Quality and Excellence. Due to the extra care and premium housekeeping, the following is a chart of fees per cabin: 1 bedroom - $70, 2 bedrooms - $75, 3 bedrooms - $85, 4 bedrooms - $95, and 7 bedrooms - $150. Fees quoted include cabin and hot tub cleaning. In accordance with our commitment to excellence and the Sevier County Health Department regulation, all hot tubs are drained, cleaned, sanitized, and refilled prior to each check-in.

There is a one time booking fee of $25.

Damage to the cabin: I understand that the cabin must be left in proper condition upon departure (dirty dishes in dishwasher, garbage bagged, etc) I understand I will be billed for any additional housekeeping required for both inside the cabin and on the grounds surrounding and below my cabin.

Late Check-out: I understand that 1 will be billed an extra $125 at 11am and $250 at noon if any members of my party remain in the cabin.

Smoking: All cabins are non-smoking; if smoking is detected in the cabin, I understand I will be billed $250-500 for extra cleaning required.

Noise complaints: The resort maintains quiet hours between 11pm and 7am. I understand that if I or any of my guests disturb a guest during their stay requiring a call from the Night Manager, I will be billed $50 per call. If it required the police to come out, I will be charged $200. If there are three complaints during my stay I will be asked to leave the resort with no refund.

Pet Fee: If you are found to have a pet on premises without having notified the front office there will be a charge of $150 for extra cleaning required.
